Dashboard

The Dashboard is the owner’s view of the business. It shows how the branch is selling, how much profit that is making, and what needs attention right now.

Go to Dashboard. You need permission to view reports; see Roles and permissions.

The screen has four tabs: Overview, Sales, Margin and Controls. Every tab uses the period you choose at the top right of the screen:

  • 7d, 30d and 90d set the period to the last 7, 30 or 90 days, ending today.
  • From and To let you choose exact dates.
  • The refresh button reloads the figures.

The Dashboard opens on the last 30 days. Dates follow Nairobi time. A period can be up to 366 days long, and the start date must not be after the end date.

Wherever the Dashboard compares figures, it compares your period with the period of the same length immediately before it. For example, if you choose 1 to 30 September, the comparison is with the 30 days before 1 September.

The Overview tab opens first.

Four cards across the top show Net sales, Gross profit, Operating profit and Total orders for the period. Each card shows the percentage change compared with the previous period. An arrow pointing down means the figure fell.

  • Net sales is completed sales less refunds posted in the period.
  • Gross profit is net sales less the recorded cost of the items sold.
  • Operating profit is gross profit less posted expenses. See Expenses.

These four cards show what is happening right now, whatever period you have chosen. Select a card to go straight to the work.

View operational report opens the Open checks report in Reports.

This chart compares Net sales, Gross profit and Operating profit for the current period against the previous period. Below the chart are Net sales, Orders, Avg. order value and Items sold.

The ring shows gross profit as a percentage of net sales: the profit kept after the recorded cost of the items. The arrow opens the Sales & margin report.

Two shortcuts into Reports:

  • Margin by item opens the Sales & margin report.
  • Tender reconciliation opens the Payments & cash report, where you compare cash, M-Pesa and PDQ records.

The strip at the bottom tells you whether sales are higher or lower than the previous period, and by how much. If any products are low on stock, it says how many and offers View inventory.

The Sales tab shows when and how customers paid.

  • Daily net sales is a chart of net sales for each day. A refund is counted on the day it is made, not the day of the original sale.
  • Tender mix lists each payment method with its total and number of transactions. It counts confirmed payments only, and leaves out credit.
  • Sales by hour shows which hours of the day bring in the most sales, in Nairobi time.

The Margin tab shows where your profit comes from.

  • Product contribution lists your top 12 products by net sales, with Qty, Net sales, COGS (cost of goods sold) and Gross profit. Cost is the average cost recorded on each sale line at the time of sale.
  • Profit bridge walks from Net sales, less COGS, to Gross profit, then less Posted expenses, to Operating profit.
  • Recorded expenses lists posted expenses by category for the period.

Gross profit is not net profit. Only expenses that have been posted in TillPoint are taken off.

The Controls tab lists Exceptions for review: the 12 most recent recorded events that a manager may want to look at, such as cash variances, voids, refunds, discounts, cancellations after an order was sent, transfers, reprints, payment mismatches, stock adjustments and checks left open for a long time.

Each row shows the Date, Exception, Reference, Staff, Value and Evidence. The total number of exceptions in the period is shown below the table.

These are records for review, not accusations. Check the evidence and talk to the staff member before drawing conclusions.

Select Open complete report to see every exception in the Staff & controls report in Reports.
