Approved buying prices

Go to Purchasing & expenses → Prices. There are three views:

  • Price list: every product and supplier pair with its current approved price.
  • Awaiting approval: price changes waiting for a decision. The number beside it is how many are waiting.
  • All price changes: the full history, with who asked, who approved and why.

Use Search for a product name, SKU or supplier, and Supplier to show one supplier. Show switches between:

  • Products with suppliers: products that already have a supplier.
  • Missing approved price: linked to a supplier but with no approved price yet.
  • Products without a supplier: not linked to any supplier.

Each row shows the Purchase unit (for example 1 CRATE = 24 BOTTLE), the Approved price per purchase unit and the Cost per selling unit.

  1. Select Propose price on the product’s row.
  2. Choose the Supplier.
  3. Enter the New price per purchase unit and the Effective from date.
  4. Enter a Reason, for example “Supplier rate card dated 1 November”. A reason is required.
  5. Select Send for approval, or Save draft to finish later.

The form shows the change against the current price and how many approvals it needs.

Open Awaiting approval. Each change shows the old and new price, the change in Ksh and per cent, the effective date, who asked and the reason.

  • Approve makes the price current from its effective date.
  • Reject asks for a reason and closes the change. The old price stays.
  • Cancel withdraws a change you asked for.

In Strict mode someone other than the requester must approve. Back-dated changes, and changes over the second-approval limits, need two different approvers.

An approved price fills in new purchase order lines and is the price deliveries are checked against. It does not change stock or the product’s average cost. Approved prices are never edited: a new price replaces the old one, and the old one stays in History.
