Signing in and terminals

Open app.tillpoint.co.ke. What you see depends on the device:

  • A device that is not yet a terminal shows Management sign-in.
  • An activated shared terminal shows its lock screen, with Enter your staff PIN.

Owners, admins, managers and payroll officers can sign in with their email and password. Use this on your own laptop or phone.

  1. Enter your Email and Password.
  2. Select Sign in as management.
  3. Under How are you using this device?, select Open management dashboard.

No terminal is created. You land on the dashboard; a payroll officer lands on Payroll. The selling screens (Checkout, Tables & orders, Counter Hub, Kitchen orders, Shifts) only appear on a shared terminal. Payroll only appears in a management sign-in.

Any other role sees This account cannot sign in to management. Those staff use their PIN on a shared terminal instead.

A new staff account has no usable email password. If you are an owner, admin, manager or payroll officer and have not yet set one:

  1. Unlock a shared terminal with your staff PIN.
  2. Open the profile menu at the top right (your name and picture) and select Change password.
  3. Enter your Current staff PIN, then the New password twice. It must be at least 10 characters.
  4. Select Update password.

You can now use your email and new password on the management sign-in. To change an existing password from a management sign-in, use the same menu; it asks for your Current password instead. Changing it logs out your other management sessions.

Open the profile menu and select Log out.

A management session that cannot be renewed ends with Your management session has expired. Sign in again to continue. Sign in again as normal.

A shared terminal is a till, counter screen, kitchen screen or waiter tablet that staff unlock with their own PIN. The terminal must first be created in Settings → Terminals. Then, on the device itself:

  1. Open TillPoint and sign in as an owner, admin or manager.
  2. Under How are you using this device?, select Sign in to a POS terminal.
  3. Choose the terminal under Existing terminal. Each one shows its branch, register and whether it is Ready or Active on another device.
  4. Select Sign in to selected terminal.

Your management sign-in ends and the device moves to the terminal lock screen, ready for staff PINs.

If the list says No terminals are available, create one in Settings → Terminals and sign in again.

If you choose a terminal that is Active on another device, TillPoint warns you that the other device will be signed out and lose its saved access.

  1. Tick I want to move this terminal to this device.
  2. Select Move terminal to this device.

If both devices need to stay in use, create a second terminal instead.

On the lock screen:

  1. Enter your 4–8 digit staff PIN on the keypad. Use Clear to start again, or the delete key to remove the last digit.
  2. Select Unlock terminal.

TillPoint opens the page that suits your role. Waiters go to Tables & orders, kitchen staff to Kitchen orders, and cashiers to Counter Hub.

Your staff PIN is not an email password. It works on any activated terminal in your business.

The lock screen shows the branch, register, terminal status and Nairobi time. The badge at the top right shows whether the terminal can unlock:

  • Online — ready.
  • Service unavailable — retrying — the device is online but cannot reach TillPoint. It keeps trying on its own.
  • Offline — unlock unavailable — the device has no internet connection.

Unlocking is switched off until the terminal is back Online.

If your business uses staff cards, select Tap staff card, then present or scan your card. Some cards also need your PIN in PIN if required. Select Use PIN keypad to go back.

Lock the terminal whenever you step away, so that nobody else works under your name.

Select Lock / switch staff at the bottom of the left-hand menu. The terminal returns to the lock screen and the next person can enter their PIN. Order details stay hidden while it is locked.

In a management sign-in the same button reads Lock workspace. The screen shows Workspace locked; enter your staff PIN and select Unlock workspace to carry on.

A shared terminal locks itself after a period with no taps or key presses. Each terminal has its own Auto-lock after time, set in Settings → Terminals. The default is one minute.

The terminal does not lock while you are in the middle of editing an order.

A management sign-in locks itself after 30 minutes without activity.

  • Check that you are entering your own PIN for this business.
  • After a few wrong PINs, the terminal stops accepting PINs for a while. The lock screen says Too many failed attempts and shows the Nairobi time you can try again. The pause gets longer with each further wrong attempt, up to 15 minutes, and applies to everyone using that terminal.
  • After eight wrong PINs on the Lock workspace screen, your PIN is blocked for 15 minutes.
  • If you do not have a PIN, or it still fails, ask a manager to check your staff access in Users and roles. They can set a new PIN for you.

A terminal that has been deleted in Settings returns to the management sign-in screen. It must be activated again before staff can use it.

After eight wrong passwords, management sign-in is blocked for 15 minutes. Wait, then try again.

If you have forgotten your password, unlock a shared terminal with your staff PIN and set a new one through Change password, as described in Setting your management password.
