Checkout
Checkout is the till for quick counter sales. Go to Checkout.
Checkout works only on a registered terminal, and only while you have your own open shift. If you have no shift, the page shows Open your shift. The Open shift with KES 0 float button opens one straight away with no float. If you are starting the day with cash in the drawer, open the shift from Shifts and cash-up instead, so the float is recorded.
Your current sale and any held sales are saved on the server against you, this terminal and your shift. Another member of staff who unlocks the terminal does not see them. Select Lock / switch staff whenever you step away.
Finding items
Section titled “Finding items”If your branch sells from more than one stock section, choose the Sale section first. You cannot change it once the sale has started.
There are three ways to find an item:
- Scan or search — scan a barcode, or type in Scan barcode or search products….
Press
/to jump to the search box from anywhere on the page. - Category — select a category button above the products, or All to show everything. Each button shows how many products it holds.
- Browse — tap a product tile.
Each tile shows the price and, where stock is tracked, the quantity in stock. A tile marked Out of stock cannot be added.
Building the sale
Section titled “Building the sale”Tapping a product adds one to the Current sale on the right. Tap it again, or use + on the line, to add more.
To give a discount on a line, type the amount in shillings in the Discount box on that line, then tap anywhere else to save it. The discount cannot be more than the line’s value. When you take payment you must also record why — see Discounts at payment.
Holding a sale
Section titled “Holding a sale”Select Hold sale to park the current sale and start a new one — for example, when a customer goes to fetch more money. Held sales appear under Held sales with their line count, value and the time they were held.
To bring one back, finish or clear the current sale first, then tap the held sale.
Removing items
Section titled “Removing items”Lowering a quantity, removing a line, clearing the whole sale or deleting a held sale is a controlled removal. Each one is recorded with your name, the reason, the device and the value removed.
| To do this | Select |
|---|---|
| Take one off a line | − on the line |
| Remove a whole line | Remove on the line |
| Clear the whole sale | The bin button beside Current sale |
| Delete a held sale | The bin button beside the held sale |
- Select the action. A Controlled removal window opens showing what will be removed and its value.
- Enter the Reason for removal.
- If your role is not allowed to remove items on its own, an Authorised manager PIN box appears. Ask a manager or supervisor to enter their own PIN.
- Select Record removal, Clear sale or Delete held sale.
If your role does allow it, the window says so and no PIN is needed. If a PIN is refused, the PIN box is cleared so the manager can try again.
Taking payment
Section titled “Taking payment”Select the Pay button, which shows the sale total, or press F2. The payment window
opens with the amount due.
Customer and loyalty
Section titled “Customer and loyalty”At the top of the payment window, Customer & loyalty lets you attach the sale to a customer.
- Leave Customer on Walk-in (no loyalty) for an ordinary sale.
- Choose a customer to apply their loyalty tier. To spend points, enter Points to redeem.
TillPoint recalculates the amount due and shows the tier discount, points discount and the new total. See Loyalty for how tiers and points are set up.
Discounts at payment
Section titled “Discounts at payment”If any line has a discount, two more fields appear:
- Manual discount reason — required.
- Manager PIN if your role requires approval — a manager enters their PIN here if your role cannot give discounts on its own.
Payment methods
Section titled “Payment methods”Choose the method in the drop-down at the top of each payment line.
| Method | What to enter |
|---|---|
| Cash | Amount to pay this way and Cash handed over. The change shows under Change to give. |
| M-Pesa | The amount, then the customer’s M-Pesa code. Select Search and choose the matching payment. |
| Card machine | Bank / provider, Card machine ID and Receipt reference from the card-machine slip. Approval code, Card type and Last 4 digits are optional. |
| Customer credit | The amount, then the Approved credit customer. |
M-Pesa
Section titled “M-Pesa”M-Pesa payments reach TillPoint from Safaricom before you search for them.
- Enter the M-Pesa amount.
- Type at least four characters of the customer’s M-Pesa code and select Search.
- Under Choose the matching payment, select the payment.
A payment marked Already used or Amount does not match cannot be chosen. If nothing matches, do not ask the customer to pay again. Check the payment under Payments and reconciliation.
Card machine
Section titled “Card machine”Copy the details from the card-machine receipt. Never enter a full card number or PIN.
Customer credit
Section titled “Customer credit”Credit is available only for customers whose credit account has been approved. Each account in the list shows how much credit is still available. You can use only one credit line per sale, and it cannot be more than the account’s available credit.
Choose the same customer under Customer & loyalty as in Approved credit customer, or the payment is refused. See Customers and credit.
Splitting a payment
Section titled “Splitting a payment”- Enter the amount for the first method.
- Select Pay another way. A new line opens with the amount still to pay filled in.
- Choose its method and complete its details.
If the customer hands over less cash than the bill, enter what they gave in Cash handed over. TillPoint uses it as the cash part and leaves the rest to be paid another way.
The bottom of the window shows Bill total, Payment amounts, Still to pay and
Change to give. Finish payment stays unavailable until Still to pay is zero
and every line is complete. Select Cancel, or press Esc, to go back to the sale.
If discounts cover the whole sale, there is nothing to pay. Select Finish payment to complete it.
After payment
Section titled “After payment”The result window shows the receipt number and each payment with its status.
| Heading | What it means |
|---|---|
| Payment confirmed | The sale is paid. The till beeps. |
| Partially paid | Some payments were confirmed and money is still outstanding. |
| Payment pending | A payment is waiting for confirmation from the provider. |
When the payment is confirmed, select Open paid receipt PDF to print the receipt, then Done. To reprint a receipt later, use Sales history.
When a payment is pending or fails
Section titled “When a payment is pending or fails”Payment pending
Section titled “Payment pending”The window says provider confirmation is pending, with a timer. Do not treat the sale as paid yet and do not hand over goods on the strength of a customer’s SMS.
Select Refresh payment status to check again. The checkout stays locked on this sale until it is resolved.
Partially paid
Section titled “Partially paid”Confirmed payments are kept. Select Pay remaining to collect the balance, using any method, then finish as normal.
Checkout status is unknown
Section titled “Checkout status is unknown”If the connection drops while you are finishing a payment, TillPoint cannot tell whether the sale went through. A Checkout status is unknown banner appears and the cart is locked.
- Wait for the connection to come back.
- If the sale had a discount, ask the manager to enter their PIN in Manager PIN again.
- Select Retry same checkout.
The retry sends exactly the same sale and payments, so it cannot create a second sale or charge the customer twice.
The cart changed
Section titled “The cart changed”If the sale was changed by another request at the same time, TillPoint shows the latest version and asks you to review it before trying again.
Saved cart messages
Section titled “Saved cart messages”You may occasionally see a yellow panel about saved carts. This happens when TillPoint finds sale data on the device that it could not move to the server automatically, for example after an update.
- Saved cart restoration needs attention — select Retry restoration. If offered, Save local cart as server-held sale moves it to Held sales for you to review.
- Saved cart data needs review — select Recover to server to restore it. If you may need a record, select Export JSON first. Discard followed by Confirm discard deletes it from the device.
You need an open shift to recover a saved cart.
