Customers and credit

Go to Customers.

The Customers & credit page holds your customer list, the credit accounts approved for them, and every credit bill still owed. Customers are also used for loyalty.

  1. Under Add customer, enter the Name. Phone and Email are optional.
  2. Select Create customer.

You need Customer edit. The customer appears in the list with No credit until a credit account is approved.

A customer can buy on credit only after a manager approves an account with a limit and payment terms. Only an owner, admin or manager with Customer edit sees Approve credit account.

  1. Choose the Customer.
  2. Enter the Credit limit in Ksh.
  3. Enter the Terms in days — how long the customer has to pay each bill. It must be between 1 and 365 days; the default is 30.
  4. Select Approve account.

TillPoint gives the account a number beginning CA-. The list then shows the Account, State, Limit, Outstanding, Available and Terms.

Choose the customer again under Approve credit account. The current limit and terms fill in. Change them and select Approve account. You cannot set a limit lower than the amount the customer already owes.

At checkout, on the Tables & orders payment screen or in the Counter Hub:

  1. In the payment screen, set the payment method to Customer credit.
  2. Choose the Approved credit customer. Each account shows how much credit is available.
  3. Finish the payment as usual.

In checkout and the Counter Hub, select the same customer under Customer & loyalty as well; TillPoint stops the sale if they differ.

Rules at the till:

  • One sale can carry only one Customer credit line. The rest of the bill can be paid in cash, by card machine or with a completed M-Pesa payment.
  • The credit amount cannot be more than the account’s available credit. TillPoint checks the limit again when the sale is saved.
  • Only accounts in the APPROVED state can be used.

The sale is closed and stock moves as normal. TillPoint opens a credit bill for the credit amount, due after the account’s terms. Credit is not counted as money collected, so it does not appear in payment collections or the dashboard payment mix until it is settled.

See Checkout for the rest of the payment screen.

The Credit bills list shows every bill with money still owed, within the sales you are allowed to see. Each bill shows its Bill reference (the sale’s receipt number), Customer, Section, Due date, Status and Outstanding amount.

Status Meaning
OPEN Nothing has been paid yet and the bill is not yet due.
PART PAID Part has been paid and the bill is not yet due.
OVERDUE The due date has passed and money is still owed.
PAID Paid in full. Paid bills leave this list.

Select a bill to see the Credit sale, Collected and Outstanding amounts, the Item snapshot of what was sold, and the Payment history.

Collections are taken on a terminal, from your own open shift. See Shifts and cash-up.

  1. Open the bill from Credit bills.
  2. Enter the Amount to collect now. It defaults to the full outstanding amount; you can collect less for a part payment.
  3. Select Take payment.
  4. Choose one payment method — Cash, M-Pesa or Card machine — and fill it in.
  5. Select Record settlement.

You need Payment take. A settlement can use only one payment method and cannot be more than the amount outstanding. If you see “Open a shift before collecting payment”, open your shift first.

For M-Pesa, the payment must be a verified M-Pesa transaction for the same amount, with the bill reference as its account reference. Otherwise a manager-approved exception is needed.

Settlements are added to the bill’s history; existing entries are never changed.

Select Outstanding report to open Outstanding credit in Reports. It shows live balances as of today, and can be filtered by customer, status and section, and downloaded as CSV or PDF. Select a row to open the bill.
