Ordering from Excel

Use this for long orders. Checking a file never changes stock or approved prices. You review it first, and it then becomes a draft order.

Go to Purchasing & expenses → Orders → Upload Excel.

  1. Choose the Supplier.
  2. Select Download template.

The template lists every product linked to that supplier, with Product Code, Product Name, Purchase Unit, Items per Unit and the approved Buying Price. The Instructions sheet explains each column. A hidden sheet ties the file to that supplier, so a template from another supplier is refused.

  • Enter Quantity Ordered for the products you want. Rows without a quantity are ignored.
  • Quantities are in purchase units, for example crates. Use whole numbers, except for weighed products.
  • To order a product that isn’t listed, add a row at the bottom with its Product Code (SKU or barcode) or exact Product Name.
  • Change Buying Price only if the supplier has quoted a different price. A different price is held for review. It never replaces the approved price on its own.
  • Total Items and Total Cost are for your reference. TillPoint works them out again.

Save the file as .xlsx. Files up to 5 MB and 500 ordered rows are accepted. Macro-enabled files are refused.

  1. Choose the Supplier. If you closed the window, choose it again.
  2. Choose the file under Excel file (.xlsx).
  3. Select Check file.

The summary shows how many rows are ready, how many price differences to review, how many are without approved price, how many errors and how many are removed, plus the total. The counts update as you decide each row.

Needs attention shows only the rows that need a decision. Each row has an Action:

Row status Actions
Price differs Use approved price, Propose uploaded price or Remove row
No approved price Propose uploaded price or Remove row
Error, for example an unknown code or a part quantity Fix in file and upload again, or Remove row

The bulk buttons Use approved price for all differences, Propose all uploaded prices and Remove all error rows handle every row of one kind at once.

Propose uploaded price sends a normal price change for approval when the order is created. Until it is approved, the order line shows it has no approved price.

Select Create draft order. It stays disabled until every flagged row has a decision. The new draft appears under Orders. Review it, then submit it for approval.

If the same file already created an order in the last 30 days, the window says This file was already used and names that order. Tick This is a new order, not a repeat upload only if you really mean to order the same goods again. A file whose draft was deleted doesn’t count as already used.
