Payments and reports
TillPoint does not send money to employees or to KRA, NSSF or SHA. You pay through your bank, mobile money, cheque or cash, then record the evidence in TillPoint so the run, the payslips and your books agree.
Payments
Section titled “Payments”Go to Payroll → Payments & remittances.
The tab lists runs that are APPROVED, PAID or POSTED, with the Expected pay date and number of Employees. Select Open payment & remittance controls to open a run.
The list works through your runs 25 at a time. If an older run is not shown, use the arrows at the bottom to move to the next page.
Record salary payment
Section titled “Record salary payment”You need Payroll pay, and you cannot be the person who approved the run.
- Pay the employees outside TillPoint.
- Open the approved run and select Record payment evidence.
- TillPoint shows one batch for each payment method used in the run — for example
Bank transfer batch and Cash batch. For each one, enter:
- … paid on — the date the payment was made.
- … reference — the reference from the completed payment.
- Select Record payment evidence.
Every method needs a date and reference. All batches are saved together. The run moves to PAID, and each batch appears on the right of the run under Payment evidence, with its number, date, reference, employee count and amount.
Bank schedules
Section titled “Bank schedules”For runs with employees paid by bank transfer, staff with Payroll pay can download a bank schedule with Bank Excel or Bank PDF. Use it to prepare or check the transfer in your bank.
- The schedule is available once the run is APPROVED and stays available after it is paid and posted. It is not available for a reversed run.
- It lists bank-transfer employees only, with their full account numbers as captured when the run was calculated.
- Changing an employee’s profile after approval does not change the account an approved run pays to.
Payment batches downloads the recorded payment evidence as CSV, once payment has been recorded.
Statutory remittances
Section titled “Statutory remittances”When payment is recorded, TillPoint lists the month’s statutory amounts under Statutory obligations:
| Item | Covers | Due date shown |
|---|---|---|
| KRA_PAYE | PAYE withheld | 9th of the following month |
| NSSF | Employee and employer NSSF | 9th of the following month |
| SHA_SHIF | Employee SHIF | 9th of the following month |
| KRA_AHL | Employee and employer Housing Levy | Left blank — confirm the date with your accountant |
After you have paid an authority outside TillPoint:
- Select Record remittance reference on that item.
- Enter the External remittance reference.
- Select Record evidence.
You need Payroll pay, and the run must be PAID or POSTED. Once recorded, a reference cannot be changed.
Recover a remittance before reversal
Section titled “Recover a remittance before reversal”A posted run with recorded remittances cannot be reversed until each remittance is recovered from the authority.
- When the remittance has been recovered from the authority, select Record recovery on the item. The run must be POSTED.
- Enter the External recovery reference.
- Select Record recovery evidence.
You need Payroll pay, and you must be someone other than the person who recorded the remittance. Then reverse the run. See Reverse a posted run.
Reports
Section titled “Reports”Go to Payroll → Reports.
Monthly & annual reports shows all 12 payroll months of the chosen Report year, with an Annual total row. The cards show Approved runs, Gross cash, Net pay and Employer cost for the year.
For each month the table shows Runs, Employees, Gross cash, Deductions, Net pay and Employer cost.
- Only runs that are approved, paid or posted, and not reversed, count in the totals.
- Draft, calculated, reviewed, voided and reversed runs still appear in the month’s history, marked Excluded from totals where they do not count.
- Months follow the payroll period, not the date you paid or posted.
Select a month to see its runs, then select a run to open it.
To download the report, select Excel CSV or PDF report. Select Refresh to reload it.
Payroll reports are available only to staff with payroll rights. Payroll figures do not appear in the general Reports or on the Dashboard.
