Sales history

Sales history lists the receipts your branch has issued. Use it to check a sale, reprint a receipt for a customer, or refund a sale.

Go to Sales.

The list shows the most recent sales first, up to the latest 500. Each row shows:

Column What it shows
Receipt The receipt number printed for the customer.
State Where the sale stands. See Sale states.
Total The sale total in Ksh.
Cashier / waiter Who rang up the sale and, if different, the waiter who owned the order.
Created The date and time of the sale.

What you see depends on your permissions. Some staff see only their own sales, some see the sales for their register, and managers see the whole branch. You also see only sales from the sections you have access to. See Roles and permissions.

There is no search box on this screen. To find an older sale or search by payment reference, use Payments or the Sales & margin report in Reports.

Select the arrow at the end of a row to open the sale.

The panel shows the receipt number, the State, the Total and the Items sold. Each item shows the quantity and SKU, and how many have already been refunded.

To print the receipt again, select Reprint receipt. This button appears only if you are allowed to print receipts and the sale is paid or refunded. A reprint is recorded, and reprints show up as exceptions on the Dashboard.

Select the close button to return to the list.

A refund does not change or delete the original sale. TillPoint records a separate return with its own return receipt number, and the original sale stays as it was.

Owners, admins, managers and cashiers can start a refund. Depending on your role, a manager may need to approve it with their PIN.

  1. Open the sale.
  2. Select Refund entire sale. If part of the sale has already been refunded, the button reads Refund remaining items.
  3. For each item, choose its condition:
    • Fit to restock puts the item back into sellable stock.
    • Damaged — record as wastage records the item as wastage. It does not go back into sellable stock.
    • Drinks poured from an open bottle or keg show Poured serving — cannot restock. A poured drink can never go back into stock. See Bottles and kegs.
  4. Check the Refund reason. It starts as “Customer return”; change it to say what actually happened.
  5. If your role needs approval, ask a manager to enter their PIN under Manager PIN if your role requires approval.
  6. Select Confirm refund.

TillPoint confirms the refund number and amount, and the sale’s state changes to REFUNDED.

Keep these points in mind:

  • The refund covers every item on the sale that has not already been refunded. You cannot choose to refund only some items or a smaller quantity from this screen.
  • The refund is always paid out in cash. Hand the money over from the drawer; the refund is taken into account in the expected cash when the shift is closed. See Shifts and cash-up.
  • A refund is counted on the day it is made. A refund today for last week’s sale reduces today’s net sales, not last week’s.

Select Cancel to close the refund form without refunding anything.

Sales history does not void a completed sale. To reverse a completed sale, refund it as above.

Items on an order that has not yet been paid are removed or voided from the order itself, with a reason. See Tables and orders. Every void is listed in the Removals & voids report in Reports.
