Reports

The Report centre holds the detailed reports behind the Dashboard. Each report answers one question, lists the records behind the answer, and can be exported.

Go to Reports. You need permission to view reports; see Roles and permissions.

  1. Choose a report from the Report index on the left. On a phone or small screen, the reports appear as tabs across the top.
  2. Choose the period. Select 7 days, 30 days or 90 days, or set exact dates in the two date boxes. Reports open on the last 30 days.
  3. Read the totals across the top of the report, then the records below them.
  4. Use Previous and Next at the bottom to page through the records, 25 at a time.

Under the report’s title is a short definition of how its figures are worked out. Read it the first time you use a report: it tells you exactly what is counted and what is left out.

Dates follow Nairobi time. A period can be up to 366 days long.

Select the refresh button to recalculate the report with the latest records.

Select CSV for a spreadsheet file or PDF for a printable document. The export contains every record for the period you have chosen, not just the page on screen.

The file name includes the report and the dates, for example tillpoint-sales-margin-2026-10-01-to-2026-10-30.pdf.

Revenue, refunds and recorded cost. Each sale and each refund is one row, with the Receipt, Staff, Gross sales, Refunds, Net sales, COGS and Gross profit.

  • Net sales are completed sales in the period less refunds made in the period.
  • COGS (cost of goods sold) uses the average cost recorded on each sale line at the time of sale. A refund reverses the cost of the original sale line.
  • Gross profit is net sales less COGS. Operating profit is gross profit less posted expenses.

Every payment, cash refund and closed-shift cash variance, with its Record, Reference, Method, State, Amount / variance and Evidence (such as the M-Pesa receipt code).

Credit given to a customer is not counted as money collected until it is paid. A cash variance is the counted cash less the expected cash at shift close, after refunds. Use this report to compare cash, M-Pesa and PDQ records. See also Payments and reconciliation and Shifts and cash-up.

Customer credit bills and what is still owed: Bill, Customer, Account, Waiter, Section, Due, Status, Days overdue, Credit sale, Collected and Cash collected.

This report always shows live balances as of today, so it has no date controls. Instead you can filter by customer, by status (Open, Part paid, Overdue or Paid) and by section. Select a row to open that credit bill. See Customers and credit.

Posted supplier invoices with their Supplier, Invoice, PO, GRN, State, Invoiced, Paid, Outstanding and Due date.

Only posted supplier invoices count as money owed to suppliers. Receiving goods on its own does not. See Supplier invoices.

Stock movements with the Product, SKU, Movement, Quantity, Unit cost, Value, Location, Reference and Recorded by.

The value of a movement is its quantity multiplied by its unit cost. Wastage counts only waste and damage movements. Stock adjustments are listed separately for review. See Inventory.

Each section’s Open orders, Gross sales, Collected payments and Current stock value.

Sales and payments are counted for the period. Stock value is the current stock at each section’s location, whatever period you choose.

Events a manager may want to review: cash variances, voids, refunds, discounts, cancellations after an order was sent, transfers, reprints, payment mismatches, stock adjustments and checks left open for a long time. Each row shows the Exception, Reference, Staff, Value and Recorded evidence.

These are records for review, not accusations.

Items removed from an order before it was sent, and items voided after it was sent. Each row shows the Action, Reference, Product, Quantity removed, Value before removal, Employee, Terminal, Approver, Approval mode and Reason.

Orders that are still unpaid, with when each was Opened, the Table / type, the Owner, State, Covers, Amount due and Age (minutes).

A check open for more than two hours is counted as aged. Age is context for follow-up, not evidence of wrongdoing.

Each sale’s Receipt, Sale total, Recorded tax, Fiscal state, Invoice, CU serial and Provider detail.

Use it to find sales whose eTIMS submission is missing or failed, so they can be followed up.

TillPoint can email each owner a daily summary of the previous trading day. This has to be switched on for your business by your TillPoint provider. If it is on, the report is due at 06:00 Nairobi time, and each owner receives one email per branch.

The email covers:

  • Sales and margin: completed sales, gross sales, refunds, net sales, discounts, cost of goods sold, gross profit, posted operating expenses and operating profit.
  • Payments and cash: confirmed payments, refunds paid out and closed-shift cash variance.
  • Sections: each section’s sales, collections, credit outstanding, open orders and current stock value.
  • Customer credit: credit issued and settlements on the trading day, plus current outstanding and overdue credit.
  • Current operations: open orders, bills waiting, open shifts, low-stock products and overdue supplier invoices.

Sales and payments are for the trading day. Stock value, open orders, outstanding credit and the current operations figures are taken when the email is sent, not at the end of the trading day.
